Director of Operations and Administrative Assistant

I: Open Position: Director of Operations

Manara Institute is looking for someone highly motivated and ambitious to fill the Executive Director position. The person in this position will run the day to day operations of the organization and aid in the growth and development of the institute. They will also be responsible for managing staff, finances, academic courses, academic calendar, as well as outreach.

Requirements:

Bachelor’s degree and management experience. Preferably speak Arabic.

Responsibilities:

Supervision of staff

-       Lead the executive team in alignment with Manara’s vision, mission and values

-       Supervise and advise staff in all issue pertaining to everyday operations

-       Develop job description for all Manara employees and volunteers

-       To assist the president in all fiscal and nonacademic administrative operations of the institute

 

Financial

-       Administer the funds of the organization according to the approved budget and monitor the monthly cash flow of the Institute

-       Maintain official records and documents, and ensure compliance with federal, state and local regulations

-       Participate in fundraising and friend-raising events outside the office during and after normal business hours

-       Oversee financial aid and scholarship applications

-       Maintaining healthy relations with donors and organizations that provide Manara with opportunities of fundraising

-       Plan and execute all fundraising events as directed by the board

-       Help the president in preparing annual budget.

-       Track budget expenses, develop and present quarterly financial statements and reports to the board

-       Ensure the issuance and delivery of all donation receipts for donors

Academic:

-       In charge of all registration issues with the help of other available employees

-       Ensure full collections of all tuitions and fees from students and organizations that receives services from Manara

-       Maintain the grades of all students

-       Supervise all graduations requirement and procedures

-       Maintain academic calendar

 

Reporting

-       Identify, assess, and inform the president of internal and external issues that affect Manara

-       Maintain official records and documents that are in compliance with law

-       Establish a positive, healthy and safe working environment in accordance with all appropriate legislation and regulations

-       Ensure a healthy safe working environment at Manara Institute in accordance federal, state and local regulations

 

Outreach

-       Establish sound working relationships and cooperation with the community, Masjids and Islamic centers in the tri state area

-       Ensure that any courses’ participants in outside Manara lectures and events are encouraged to enroll as students at Manara

-       Manage and execute plans to recruit students

-       Help the board in building and maintaining relationships with local politicians and officials to enhance Manara and its mission

-       Publicize the degrees, classes, workshop, and activities of Manara institute to Muslim communities and Islamic centers, organizations and schools in the NJ, NY, PA, CT area.

-       Take a leadership role in the development of an excellent reputation for the Institute

-       Oversee and ensure the development of Institute’s social and traditional media presence

-       Manage, maintain, and improve Manara website, Facebook and any other social media venue to represent Manara in a professional manner.

II: Administrative Assistant

Manara Institute is looking for someone highly motivated and ambitious to fill the Administrative Assistant position. The person in this position will help the director and his/her assistant in the the day to day operations of the organization. Duties include various office work, data entry, updating the website and other duties.

Requirements:

  • Good communication skills, computer skills, flexible work schedule, and previous experience in office work, bookkeeping, data entry, or marketing.

  • College degree is preferred.

  • Knowledge of graphic design and/or social media is a plus.

  • Knowledge/experience of Quickbook is a plus.

  • Bilingual Arabic/English is a plus.
